What to prepare before connecting BnCheck

The initial government registration and reporting individual bookings are separate procedures. Use this checklist to identify what is ready and what is missing. Sources reviewed on 1 October 2026.

Identity accepted for initial registration

Check which identification options the SES Hospedajes procedure offers for your circumstances. Foreign citizens applying for an FNMT individual certificate need their NIE and the applicable identity documents: FNMT lists accepted documents. Your NIE, digital certificate and web-services password are different items.

Registered operator and property

Check that the activity operator and establishment are registered with SES Hospedajes. You need the Entity Code and Establishment Code to connect the property in BnCheck. The Ministry of the Interior visual guide covers initial registration and locating these codes.

Separate web-services credentials

Enable web-services reporting in SES Hospedajes and obtain its technical credentials. BnCheck uses the web-services username and password with the entity and establishment codes; you do not import your FNMT private key. The BnCheck setup guide explains which value goes in each field.

Someone responsible for checking the data

Decide who will check documents, travellers, dates and SES responses: you or a local manager. Working remotely still requires review. If several people need BnCheck access, check team access and permissions; this feature is included in Ultra.

How to manage Spanish guest registration from abroad

Once the connection is configured, use your browser or the BnCheck app. Guests open a web form and do not need to download an app.

1. Match the booking to the property

Create or locate the stay for the correct property and check the dates and number of travellers. Keep bookings separated by accommodation so guests and reporting records remain associated with the right establishment.

2. Share the check-in link

Send the guest the link for their booking through your usual communication channel. The traveller enters their details and can use document reading to speed up data capture; scanned details still need to be checked.

3. Review the details received

Check which travellers are missing and review names, documents, dates and applicable signatures. If a guest cannot finish, resolve the field or link causing the issue before submitting incomplete data.

4. Submit and check the response

Confirm submission after reviewing the details, then check the result associated with the booking. Sending a request does not, by itself, prove that SES accepted it. Monitor statuses and resolve errors; check the applicable reporting events before arrival.

The owner's country of residence does not, by itself, exempt a covered accommodation activity. Articles 2 and 3 of Royal Decree 933/2021 define the activities and scope. Check your activity and the authority responsible for your property rather than assuming that living abroad creates an exemption.

This depends on your documents and the available identity-verification route. Check current FNMT identity-verification requirements and whether your Spanish career consular office offers that service before booking travel. FNMT provides for consular offices when applying from abroad. Do not assume that video identification accepts every foreign identity document.

No. BnCheck manages check-in and guest reports using SES Hospedajes web-services credentials. You must complete the applicable official registration first; subscribing does not issue a digital certificate or automatically register the operator with the Ministry.

BnCheck connects to SES using web-services credentials for guest-report submissions. AutoFirma may be required by official procedures that need an electronic signature, but it is separate from the guest form and guests do not download it to complete check-in.

Ultra includes Teams so you can assign individual access and permissions. Agree who reviews and reports guest details. Permission inside BnCheck does not replace any representation or authorization that must be registered with the relevant authority.

Reservation reporting and arrival reporting are different events. Article 6.3 of Royal Decree 933/2021 sets immediate reporting, with a maximum of 24 hours, for booking, contract formalization or cancellation and for the start of the service, as applicable.
