How to add extra guests to a stay in BnCheck

A booking can change after you have sent the check-in link: someone joins the trip at the last minute, a companion arrives later, or the lead guest realises that another traveller still needs to register. In BnCheck, you do not need to recreate the whole stay or change the details of guests who have already completed the process.

You can add the new travellers to the existing stay. BnCheck keeps the booking reference, accommodation and stay dates, while collecting only the details of the people who are still missing.

In short: you can prepare a new link from Completed, do it from Calendar, or let the guest select “Add more guests” after finishing their check-in.

What happens when you add an extra guest

BnCheck keeps each new registration connected to the same stay. The total number of guests increases, but every submitted form appears as a separate record in the dashboard.

This is expected: each registration is processed independently, even though they all share the same booking reference and accommodation. You can see who has completed their details, review each submission separately and manage one without changing the others.

You do not need to create a different booking or change the guest count in the original stay.

Option 1: add guests from Completed

This is the most direct route when the first check-in already appears as completed in your account.

  1. Sign in to BnCheck and open Completed.
  2. Find the relevant stay.
  3. Open the three-dot menu.
  4. Select Add more guests.
  5. Enter the number of missing guests and review their check-in date.
  6. Select Create link.
  7. Share the new link with the guests through your preferred channel.

The link remains connected to the original stay. The new travellers only need to complete their own online check-in.

Option 2: add guests from Calendar

You can also start from the BnCheck Calendar. This is particularly useful if you manage stays visually or need to locate the booking by date.

  1. Open Calendar and select the accommodation.
  2. Select the completed stay.
  3. Choose Add more guests.
  4. Check the number of travellers and the date they are joining the stay.
  5. Create the link and send it to the missing guests.

The result is the same as using Completed: BnCheck creates an additional link tied to the existing booking without changing guest registrations that have already been processed.

Option 3: let guests add their companions

When someone finishes the form, the confirmation screen shows Add more guests as long as the stay can still accept another check-in.

Selecting it opens a new form for the next person. Guests can repeat this process as many times as needed while the stay is still open. This is useful when every traveller prefers to enter their own details or when the group does not have all the required information at the same time.

Who reviews and submits the new registration?

When a guest completes it

The new registration appears in Pending so the host or property manager can review it before processing it. This gives you the opportunity to check the details and confirm the submission once everything is correct.

When the account holder or an authorised team member completes it

If the form is completed while signed in as the account holder, or as a team member with permission for that accommodation, BnCheck processes it directly and the record moves to Completed. It does not need a second approval.

You can therefore use the same link in two ways: send it to the traveller and review their details afterwards, or open it from your own account and enter the information directly.

How the check-in date works

Additional guests do not always arrive on the same day as the rest of the group. The check-in date can therefore be adjusted within the original stay.

  • If the stay has not started, BnCheck suggests the original check-in date.
  • If it has already started, BnCheck suggests today.
  • You may also select the previous day to cover an arrival registered within a 24-hour margin.
  • The check-in date cannot be earlier than the start of the stay or later than the day before check-out.
  • The form cannot extend the stay beyond its original check-out date.

For example, if the stay started on the 13th and you add the guest on the 14th, you can still select the 13th as their check-in date. If you complete the process on the 15th, the earliest available date will be the 14th and BnCheck will suggest the 15th.

If you need to change the check-out date for the whole booking, edit the stay separately. “Add more guests” is designed to add travellers, not extend the booking.

How long can you add guests?

You can use this feature until the day before check-out. Once the check-out date arrives, there is no longer a valid check-in date within the stay and the button is no longer available.

If you cannot see “Add more guests”, check that:

  • the check-out date has not arrived;
  • the stay has a valid booking reference;
  • you are viewing the correct accommodation;
  • the first registration is completed or awaiting review.

Frequently asked questions

Do I need to create another booking?

No. Use “Add more guests” to keep the new travellers associated with the same stay.

Do additional guests appear together in Completed?

The total number of travellers is accumulated for the same stay, but each submission appears as an independent record. This keeps the processing history clear.

Can a guest add several people?

Yes. They can complete one person’s form, select “Add more guests” and repeat the process for the next traveller. From the dashboard, you can also prepare a link for the number of guests who are still missing.

Can I do this after the stay has started?

Yes, as long as the check-out date has not arrived. Select the actual date when the additional guest joined the stay.

Does the new guest need to use the same device?

No. You can share the link so each traveller opens it on their own phone or computer.

Add travellers without recreating the stay

“Add more guests” helps you handle ordinary booking changes without duplicating work. You can start from Completed, Calendar or the final screen of the check-in form, and decide whether the traveller or an authorised member of your team completes the details.
