Bed Bugs in a Vacation Rental: Step-by-Step Protocol

It is half past eleven at night and a guest messages you with photos of bites on their arm. It could be anything, but if there are bed bugs and you react badly, the problem becomes two: the infestation and the review. This protocol covers what to look for, how to isolate the room, what to tell the guest, how to document treatment for insurance and how to stop the episode recurring with the next arrival.

How to spot bed bugs: signs

Bed bugs (Cimex lectularius) do not appear because of poor cleaning. They travel in suitcases, clothes and textiles, and they feed on human blood at night. What they leave behind is fairly recognisable if you know where to look:

  • Bites in clusters or lines on the face, neck, arms or hands, usually noticed in the morning.
  • Small blood stains on sheets or covers, from feeding during the night.
  • Black dots (droppings) along mattress, bed base and headboard seams, like grains of pepper.
  • Translucent shed skins and white eggs in seam corners and folds.
  • A sweetish odour in advanced infestations.

Areas to check with a torch: mattress seams, labels, bed base and its joints, headboard, bedside tables, skirting boards, sofa beds, wardrobe frames and sockets near the bed. A two-minute check per bed detects most early signs.

The first 60 minutes: isolate and notify

How you react in the first hour makes the difference. Avoid moving things and do not improvise:

  1. Do not take suitcases, clothes or textiles out of the room. Moving them spreads the infestation to other rooms and transports the problem.
  2. Isolate the area: keep the door closed, avoid draughts towards the rest of the property, and stop the guest from reorganising open luggage around the room.
  3. Reply to the guest quickly and without alarmism. Ask for photos and details: how long they have noticed the bites, which bed, which rooms they have used. Neither confirm nor dismiss anything: "we are going to check and, if confirmed, we will act today".
  4. Inspect the room yourself with a torch and gloves, starting with the mattress and bed base, and photograph everything you find, even if you think it is nothing.
  5. Block the calendar for that unit until you have a diagnosis. Cancelling an arrival is uncomfortable, but hosting someone in a room under investigation is far worse.

Protocol: photos, certified company, 60 °C wash, textiles

With bed bugs, home remedies fall short and supermarket sprays can scatter the infestation to other areas. The reliable route is a pest control company registered in the official biocides register (ROESB in Spain), which applies authorised products and treatments under Regulation (EU) 528/2012.

Before hiring, ask:

  • Specific experience with bed bugs, not generic pest control.
  • Which areas they inspect and treat: not just the bed. Sofas, skirting boards and wardrobes too.
  • Whether the treatment requires a second visit. A follow-up after 10-15 days is standard, and in high rotation it should not clash with an arrival.
  • How long the property must remain empty and unused before reopening.
  • Instructions for textiles (washing at 60 °C for around 90 minutes and tumble drying above 40 °C for at least 30 minutes is effective against all stages, eggs included) and for furniture.
  • Whether they provide a service report or certificate. You will need it for insurance and for your own peace of mind.

While treatment is under way, the room stays blocked with no arrivals. Reopen only after the final review in writing.

If the platform suspends the listing

Airbnb and other platforms can suspend a listing after a pest complaint. While it is suspended, it does not appear in search results and cannot receive new bookings, and reactivation may require evidence that the issue is fixed. In practice, that is resolved with the pest control company's report: treatment applied, dates and written confirmation that the unit can be used again with no bed bug activity. Without that document, reactivation can drag on for weeks and the lost bookings do not come back.

Always ask for the report and the reopening confirmation, even if you are not claiming on insurance: it is the document that unlocks the listing and shows diligence if the guest, the platform or a reviewer ask questions.

Refunds, compensation or relocation

There is no universal compensation table. What is reasonable is to scale your response to what is confirmed and how quickly you acted:

  • No confirmed evidence: immediate inspection, change of textiles and a small gesture if there was inconvenience. Do not promise large refunds over a suspicion.
  • Partial evidence, one uncomfortable night: refund that night or cover cleaning and laundry.
  • Bed bugs confirmed: refund the affected nights and reasonable help with relocation.
  • Slow or no response: be prepared to compensate more. When the failure is yours and it drags on, the conversation is no longer about the infestation, it is about the service.

Fighting over every euro usually costs more in reviews and platform support than you save. Decide quickly, offer options and put whatever you agree in writing. Two rules when writing to the guest: do not argue about the origin of the problem and do not promise amounts you have not decided on.

Record keeping for the deposit and insurance

If you have liability or multi-risk insurance for the property, check the policy: some cover pest treatments and others exclude them unless you can show maintenance and prior inspections. The paper trail is your defence:

  • Report or certificate from the company, with the date and treatment applied.
  • Invoice for the pest control service and for the extra cleaning.
  • Dated photos, messages with the guest and inspection notes.
  • Dates the unit was blocked and reopened.

If the issue was detected after a particular stay, it is not clear that the last guest is responsible: bed bugs can take weeks to show. Unless there is clear proof, it is not worth trying to charge the deposit for this; against third parties, the documentation is what protects you. Protecting and answering the review

A negative review after an incident like this is not avoided by arguing, it is avoided by managing. If it is already published, answer it with facts in chronological order: what the guest reported, what you did, when, how it was resolved. Acknowledge your part without exposing the guest's personal data or details that could worsen the conversation. That reply is not for the guest, it is for whoever reads it before booking. If the review contains false statements or personal attacks, check the platform's content policies and consider requesting a review.

Prevention between guests

  • Bed bug proof covers on mattresses and pillows that can be washed at 60 °C.
  • A two-minute visual check at every between-guests clean: seams, bed base, headboard and sofa bed.
  • Vacuuming seams and folds with a narrow nozzle as part of the cleaning protocol.
  • Luggage racks and keeping bags off carpets and upholstery.
  • Basic training for the cleaning team to recognise signs without raising unnecessary alarms.
  • An inspection and treatment log per unit: it shows diligence and helps in any claim.

Inspection and rapid response checklist

Keep this list handy for high-rotation seasons:

  • Check mattress, bed base, headboard, bedside tables, sofa bed and skirting board seams after every checkout.
  • Before and after photos of every stay as a state reference.
  • Pest control company's phone number at hand, with an emergency protocol.
  • A prepared guest reply: neutral tone and no rushed diagnoses.
  • Spare textiles to replace immediately if there is a suspicion.
  • Calendar blocked until reopening is confirmed in writing.
  • A per-unit folder with reports, invoices and treatment dates.

Incidents pile up in high season: the better each stay's protocol is set up, the easier it is to react. Keeping registration and communications in order helps here too, as with items guests leave behind.
